COVID-19: Pay Type Codes for Paid Sick Leave and Paid Family Medical Leave

This article summarizes the recommended Pay Type (i.e., earning) codes that Namely has set up to accommodate for the expansions of Paid Sick and Family Medical leave stemming from the COVID-19 pandemic.

OVERVIEW

Namely has implemented Pay Type (i.e., earning) codes to accommodate the expansion of paid sick and family medical leave provided by the Families First Coronavirus Relief Act. These earning codes respect the federal annual limits - so no employees can be paid in excess of limits noted below using these earning codes. These codes are available globally, and may be used immediately.

PAID SICK LEAVE

Code: Federal Paid Medical Leave - Tier 1

Federal Paid Medical Leave - Tier 1 will handle the following case types:

  • Type 1 - A federal, state, or local quarantine or isolation order related to COVID-19 has limited the employee’s ability to travel.

  • Type 2 - A healthcare provider advised the employee to self-quarantine because of concerns regarding COVID-19.

  • Type 3 - The employee is experiencing symptoms associated with COVID-19 and is in the process of determining whether they have contracted the virus.

Limit: For Federal Paid Medical Leave - Tier 1, the amount of paid sick leave provided cannot exceed $511 per day, and a total of $5,110 (10 days total.)


TIP:

This pay code can only be used until March 31, 2021.

 

Code: Federal Paid Medical Leave - Tier 2

Federal Paid Medical Leave - Tier 2 will handle the following case types:

  • Type 4 - The employee is caring for someone who is subject to a governmental quarantine or isolation order for COVID-19 or whose healthcare provider advised that person to self-quarantine because of COVID-19.

  • Type 5 - The employee needs to care for their child because of the closure of the child’s school or child care facility, or the unavailability of a child care provider, because of COVID-19 considerations. This is separate from the Family and Medical Leave Act.

  • Type 6 - The employee is experiencing a situation that was specified by the Department of Health and Human Services as substantially similar to any of the two aforementioned situations.

Limit: For Federal Paid Medical Leave - Tier 2, the amount of paid sick leave provided cannot exceed $200 per day, and a total of $2,000 (10 days total).

This pay code can only be used until March 31, 2021.

 

Code: ARPA Federal Paid Medical Leave - Tier 1

  • Use case and limits follow Federal Paid Medical Leave - Tier 1

TIP:

This pay code must be used for the ARPA extension from April 1 to September 30, 2021. Refer to American Rescue Plan Act: Federal Paid Medical Leave for more details.

 

Code: ARPA Federal Paid Medical Leave - Tier 2

  • Use case and limits follow Federal Paid Medical Leave - Tier 2

TIP:

This pay code must be used for the ARPA extension from April 1 to September 30, 2021. Refer to American Rescue Plan Act: Federal Paid Medical Leave for more details.


PAID FAMILY LEAVE

Code: Federal Paid Family Leave

Limit: For Federal Paid Family Leave, the maximum amount payable per day is $200, and the total amount payable to an employee for public health emergency leave cannot exceed $10,000.
